A practical pre-launch list for teams turning on HubSpot, Salesforce, or similar — before you invite the whole company.
Use this before you invite everyone
A fast checklist to turn on a new CRM/ERP without breaking data, money flows, or your release rhythm.
1. Define owners and admin access
One business owner for pipeline stages, one technical owner for integrations. Create dedicated admin seats — not shared logins.
2. Map objects before you import
Write down required fields, dedupe rules, and which legacy IDs must survive migration. Run a 50–100 row pilot import and fix mapping errors there, not on 10k rows.
3. Wire money and support early
Connect billing and support inboxes in sandbox first. Test create/update/cancel flows for subscriptions before sales starts closing deals in the new CRM.
4. Validation gates
- Row counts and checksum samples post-migration
- Spot-check 20 accounts end-to-end (lead → opportunity → invoice)
- Rollback plan if go-live slips
5. Train on the happy path only
Document one page: how to create a deal, move stages, and where data comes from. Edge cases can wait until week two.
